Keeping the board's documents

Scouts asks trustees to keep compliance documents somewhere future trustees can find them, and only as long as they should be kept. Documents holds them: the constitution, accounts and the examiner's report, insurance certificates, the lease, the fire risk assessment, gas and electrical certificates, and the group's policies.

Files are private to people with access to Trustees, up to 10MB each: PDFs, photos, Word, Excel and plain text.

Give a document a renew or replace by date if it expires, such as an insurance certificate. It's flagged as the date nears and goes in the weekly email. A keep until date marks when it can be deleted. It's flagged then, but never deleted for you: that's the board's decision.
